The VU requires that all its employees register the time they work in a central SAP-based administration system. Unfortunately this process is sometimes problematic, so I try to document the correct procedure here. However, please note that I am only a user of the system; the information here is not autoritive.
You log in to the adminstration system at hrm.vu.nl. You need a valid user name (`Login') and password.
The system uses a locking mechanism to ensure that only one login to each account at the same time is possible. Unfortunately, it is possible to get the system into a state where you are not logged in to the system, but the lock is still there. From an official document:
If access is being blocked by the SAP system:
It is important to save your entries (SAVE button at the far right) and leave the SAP time writing module (BEEIND button left upper corner) via the buttons available in SAP. If you leave the SAP module in another way, this might cause the system to block your access for the next hour, because it considers you to still be logged on to SAP. This expires after 1 hour, making your access to the system possible again.
Another problem is that if you have make too many incorrect login attempts your account will be locked. Any further attempts to log in will get you the error message User is locked. Please notify the person responsible (or the equivalent in another language).

Q How do I get an overview of the hours I have registered this year or month? How do I know how many hours are left in the project I am writing on?
A As far as I know, it is not possible to get this information. (Apart from doing the sums yourself on the information you have entered, of course.)
Q How do I access the administration system from home?
A As far as I know, that is not possible. Perhaps it works if you have Surfnet as internet provider (e.g. at some student housing), but this is unconfirmed speculation. The official stance is:
In general it is not VU policy to support work from home. Following this, the managing director of FEW has decided that for the time being time writing from outside the VU campus will not be made available.
Q Are there official instructions on time administration?
A Sort-of. As far as I know, there is no webpage. I have seen a Word document with some instructions, but reading that under Linux is a pain, and as far as I know it is not available online.
